What is Group Rostering?

Results Reports for STAMP (including STAMP 4Se reports) have a rostering ability. Rostering gives testing coordinators or teachers the ability to roster test takers into testing groups (classes) before testing begins. Rostering ensures the following:

  • Controlled access to the assessment (only rostered test takers can access the assessment).
  • Cleaner test taker data (prohibits test takers from creating more than one test instance, easier test taker identification within the report).
  • User-friendly experience for younger test takers with pre-filled fields within the profile screen.

Test Group Rostering Steps

Prior to group rostering, please see the STAMP Getting Started Guide for set-up. Indicate that you would like to utilize Group Rostering when placing your order and prior to requesting Testing Group login codes. Testing Groups will only have the Group Rostering feature enabled upon request.

Step 1. Receive Your Logins and Access Results Report

Avant Assessment will send you the form with results/reports logins for each testing group. Follow instructions below to access Results Reports for each testing group:

Step 2. Roster Test Takers

A. Access Results Report using results/reports login(s).
B. Click on ROSTER TEST TAKERS button to open a pop-up menu.
C. For each test taker enter the following information:

  • First name
  • Last name
  • Login name 

Click the plus button (+) to add additional  lines.

IMPORTANT: Each field must be filled out and each login name must be unique. Test takers will use the login name to access the assessment. See below:

Login name should be:

  1. Between 5-25 characters long.
  2. Any combination of letters, numbers, or any of the following special characters: @ (at symbol) _ (underscore)  (hyphen) . (period) , (comma)  (single quote).
  3. Unique within the testing group (e.g. student or employee ID number or email).

Test takers should memorize their login name. If test takers need to stop and continue the test at a later time, they will need to enter their login name exactly as they did the first time.

D. Click on the PROCESS TEST TAKERS button when you are ready to roster the test takers and close the window.

A. Access testing group report using results/reports login(s).
B. Download spreadsheet template.
C. For each test taker enter the following information in the spreadsheet:

  • First name 
  • Last name
  • Login name

E. Copy your Test Takers list from the spreadsheet and paste it into the pop-up menu.
F. Click on the PROCESS TEST TAKERS button when you are ready to roster the test takers and close the window.

Test Taker Experience

Once test takers are rostered, they will follow the steps below to access the assessment:

  1. Receive the test code and password from the teacher or proctor.
  2. Use the test code and password  to login.
  3. Use the assigned login name to access the assessment.
  4. Access and fill in the optional fields within the profile screen, if needed.
    IMPORTANT:
    First name, last name, and assigned login name (test taker ID) fields will be prefilled.
  5. Click the SUBMIT button within profile screen and move on to the dashboard screen.

FAQs

How do I add a new testing group?

Once you’ve placed the order for group rostering, request additional testing group logins by listing the new groups on your test set-up form. Email this form to roster@avantassessment.com. Our Support Team will set up the logins for you. You can list the additional group(s) on a blank set-up form or below your existing groups. Please contact your Account Manager if you need to order group rostering.

How can I get rostering controls?

  • Send an email to roster@avantassessment.com stating that you would like your testing group to be restricted to only test takers that are rostered and that you would like the ability to roster test takers within your reports.
  • Our Support Team will enable test group rostering controls for your reports.
  • You will receive an email with instructions and will be able to roster test takers at that time.

How do I add test takers to a testing group that was rostered by Avant?

Do all test takers in a testing group need to be rostered at the same time?

No, you do not need to roster all test takers at the same time. You can add/roster additional test takers as needed.

How do I edit a test taker’s information?

Use the pencil icon located under the column “Edit”. Click on the pencil icon to open the window to edit a test taker’s information. Click “SAVE” to save changes.

How do I remove test takers from the testing group (if they were rostered in the wrong testing group or are no longer testing)?

Email support@avantassessment.com with the request. Please include the test taker’s Login Name and the testing group Test Code. You will receive a confirmation email when your request has been completed.

Where is the rostered test taker’s login name located?

Use the test code and password provided by Avant to access the Results Report in which the test taker was rostered. The login names for each test taker will be listed in the Login Name column of your test taker list.
